Event Production Expert

As Event Production Expert, you provide technical expertise for the realisation of our projects. Knowledge of all materials, both Fanfinity-owned and rented, is required for projects. Furthermore, you have the overview of floorplans, communication with the venue and suppliers. You coordinate all timings to ensure everything is built up on time, coordinate the crew during set-up and take-down, and find solutions to logistical problems.

YOUR MAIN TASKS

Supplier Management:
- Compare and negotiate supplier quotes to identify the best fit for our budget and project needs.
Documentation:
- Prepare floor plans, pick lists, briefings, and safety plans.
Event Production Support:
- Assist in the preparation and production of business-to-consumer and business-to-business events.
Logistics Organization:
- Arrange transport for all event-related materials.
Team Coordination:
- Assemble the team responsible for setting up and dismantling events.

Event Coordination:

Team Leadership:
- Lead the event production team during the event, overseeing set-up, dismantling, and daily operations on event days.
Event Execution:
- Ensure safe and smooth execution of event production.

Event Aftercare:

Post-Event Coordination:
- Manage aftercare of the event production, including:
  - Reviewing final invoices and order statements.
  - Debriefing with teams and suppliers.
  - Coordinating post-event shipping and maintenance of event materials with the warehouse team.
Marketing Materials:
- Create, develop, and order POS/marketing materials (e.g., banners, signage), with designs provided by a graphic designer.

This position requires travel to international events!

WHAT YOU BRING

Education:

Bachelor’s degree in Event Management or Marketing
OR: Equivalent experience

Knowledge:

Languages: You speak English fluently.
IT Skills: Familiar with spreadsheets, Google Workspace, Slack, SketchUp, AutoCAD, and Rentman
Additional Knowledge:
- Understanding of gaming and community dynamics
- Basic knowledge of finance and accounting
- Basic understanding of Marketing principles
